Lake Superior Writers
Committee Responsibilities


All Committees: Meet monthly or as required, provide monthly reports to board and committee members, create an annual budget, work with grant writers for grant proposals as needed. Ad Hoc committees are formed as needed. All committee members must be bona fide LSW members.

Contest: Develops themed approach to contest to increase membership participation, solicits donations and grants, develops guidelines, manages entries. Chooses preliminary and final judges, works with editors/designers and collaborates with the Public Relations committee to produce/print the public presentation of selected winners' work. Plan and execute publication readings.

Executive: (Chair, Secretary, Treasurer, Membership Chair). Has full power and authority of the organization to act on matters and make needed decisions between board meetings, plans board development and retreats, acts as the full board’s “support group.” Coordinates annual meeting each spring.

Finance: Solitics money to support special projects, develops an annual fundraising plan, develops an annual fundraising event, drafts related correspondence, identifies and pursues potential foundations and sponsors, creates a list of potential donors. Along with grant writers, seeks funding opportunities and maintains a deadline calendar. Oversees our arrangements as a fiscal agent for other entities. Works with all committees to produce the annual financial report, prepares tentative budget for board review and approval. Ad Hoc finance committees are formed as needed.

Membership: Develops and increases membership, maintains an accurate membership list and provides it quarterly to board members. Reviews membership fees, coordinates and implements annual membership drive, plans membership communications, coordinates membership promotion at public events, coordinates genre-based writing groups and mentor/student information, provides Public Relations with mailing lists, as requested.

Program: arranges and coordinates classes, workshops, and readings (income and non-income generating). Sets workshops and class fees, makes location arrangements for readings, classes, etc. Arranges for refreshments and helps set the ambience/atmosphere at LSW events, in cooperation with committees.

Public Relations: Sends news releases, develops uniform look/image and translates that look into organizational print materials (membership, event promotions). Works with the Contest Committee to produce public presentation of winners' work, manages printing and mailing, designs, reviews and updates web page, prints hard copy of web page four times/year, prepares web standards, manages and distributes e-calendar and newsletter. Reviews existing plans, develops and distributes promotional articles.

Lake Superior Writers Board Member and Officer Responsibilities

Board Members
Attend monthly board meetings (no more than three absences annually) participate in short- and long-range strategic planning, participate in budget planning, consider/vote on new board members, take an active role in fundraising and bookselling, make a personal financial commitment so we can reach 100 percent participation. Lead, or actively participate on a committee.

Board Officers

Chair/ Co-chair. Chief volunteers officer(s), approves leadership, develops and sets the board meeting agendas, chairs board meetings, evaluates board member effectiveness (our bylaws require a majority vote to remove a board member), increase board involvement in all activities, acts as exofficio member on committees when possible, guides board actions, signs checks and major donor letters, other duties as assigned by the boards.

Secretary
Takes board meeting minutes, sends them out two weeks prior to the next board meeting (with meeting’s agenda), gathers and tracks inkind hours, acknowledges financial and in-kind donations, acknowledges kudos, develops template letters, maintains archive of correspondence, minutes (filed in office), by laws, mailings, etc.; checks on web and e-mail, spends time in LSW office weekly.

Treasurer
Provides monthly financial statement for previous month’s activities at all board meetings, writes and signs checks as needed, coordinates and produces the annual financial report for the July board meeting, develops a key/reference sheet for the monthly financial statement categories, coordinates and develops the operating budget by June for the next fiscal year, oversees financial agent transactions, supplies financial information for grants as needed.
